Voice Ninja ("we", "us", or "our") provides tools for creating and using AI voice agents, web agents and website widgets. This Privacy Policy explains what information we collect, how we use it, when we share it and the choices available to you.

This policy applies when you use Voice Ninja or interact with an agent or widget created through Voice Ninja.

2.Information We Collect

The information we collect depends on the features you use and the information you choose to provide.

• Account and profile information, such as your name, email address, phone number, address and notification preferences.
• Information you add to your agents, such as instructions, knowledge, uploaded files, website links, voice settings and widget settings.
• Information shared by people who use your agents or widgets, such as messages, transcripts, contact details and form responses.
• Google Calendar information when you choose to connect it, such as the connected account, calendar availability and appointment details needed for scheduling.
• Billing and usage information, such as credit usage, payment status and invoice details. Payments are processed by our payment provider.
• Basic technical and security information needed to operate the service and protect accounts.

3.How We Use Your Information

We use the information we collect to:

• Provide and improve Voice Ninja and the agents, widgets and tools you create.
• Process conversations and information so your agents can respond and perform the actions you configure.
• Check calendar availability and create appointments when you connect Google Calendar.
• Provide support and send important account, service and billing messages.
• Manage usage, credits, payments and invoices.
• Keep the service reliable, secure and protected from misuse.
• Meet legal and regulatory requirements.

4.Google Calendar

Google Login and Google Calendar are separate features. Connecting Google Calendar is optional unless you choose to use calendar features for an agent.

When you connect Google Calendar, we request only the permissions needed to check availability and create appointments. We use this information only to provide the calendar feature you selected. We do not sell Google Calendar information or use it for advertising.

When a calendar-enabled agent is used, relevant calendar information may be shared with ElevenLabs, Inc. to provide voice-agent, speech and conversation services, and with Google Gemini when it is used for the selected agent or a Voice Ninja configuration feature. We share only the information needed for the requested calendar action. We do not share Google Calendar information with advertisers, data brokers or other unrelated third parties.

You can disconnect Google Calendar from the Integrations page in Voice Ninja or revoke access from your Google Account settings.

5.Sharing Information

We share information with named service providers that help us operate Voice Ninja. These include ElevenLabs, Inc. for voice-agent, speech-to-text and text-to-speech services; Google Gemini for selected prompt-generation and agent-configuration features; our hosting and infrastructure providers; our payment provider; and support or security providers where needed. Each provider receives only the information needed for the service it provides.

If you connect an external service or create a custom tool, information may be sent to that service according to your settings. You should review the privacy policy of any service you connect.

We may also share information when required by law, to protect users or the service, or as part of a business transfer.

6.Google User Data and Limited Use

Voice Ninja uses Google Calendar information only to provide the calendar features that are visible and available in Voice Ninja, such as checking availability and creating appointments at your request.

The use of information received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising, or use it to create, train or improve generalized artificial-intelligence or machine-learning models. We do not allow people to read Google user data except when you expressly ask us to provide support, or when access is needed for security or legal reasons.

We retain Google Calendar information only for as long as needed to provide the requested feature, protect the service and meet legal obligations. You can disconnect the integration or revoke access through your Google Account settings.

7.Data Retention and Deletion

We keep information for as long as needed to provide the service, maintain business records, protect the service and meet legal obligations. The length of time depends on the type of information and how it is used.

You can manage or remove supported information from your account and disconnect integrations through the dashboard. You can also contact us through the support channels in your dashboard to request access, correction or deletion of personal information.

8.Keeping Information Safe

We use reasonable safeguards to protect information from unauthorized access, loss, misuse or disclosure. No online service can be completely secure.

Please keep your account details, passwords and API keys confidential.

9.Your Choices and Rights

Depending on where you live, you may have the right to access, correct, export or delete your personal information, or to object to certain uses of it.

To make a privacy request, contact us through the support channels listed in your dashboard. We may need to verify your identity before completing a request.

10.Children's Privacy

Voice Ninja is not intended for children. We do not knowingly collect personal information from children in violation of applicable law. If you believe a child has provided information to us, please contact us through the support channels listed in your dashboard.
